Data Protection Policy

The practical standards used to protect volunteer, member, application, and platform data.

Purpose

VNZ Hands handles information connected to children-focused work, volunteer coordination, member organisations, online assignments, and visiting volunteer pathways. Data must be handled carefully, lawfully, and only for clear VNZ purposes.

Access control

Administrative access should be granted only to people who need it for their role. User accounts should not be shared. Access should be reviewed when staff, volunteers, or partners change roles or leave.

Data quality

Records should be accurate, relevant, and kept up to date. Volunteers and administrators should avoid uploading unnecessary sensitive documents or recording information that is not needed for the assignment or placement process.

Security

The platform should use strong passwords, secure hosting, backups, HTTPS, careful file permissions, and regular updates. Downloaded exports should be stored securely and removed when no longer needed.

Incidents

Suspected data loss, unauthorised access, or accidental disclosure should be reported promptly to VNZ leadership so the risk can be assessed, contained, documented, and communicated where necessary.
